1. Who the Contract Is With
Your contract is with Elite Global Events Ltd once we issue written confirmation of your booking. Before that point, prices, availability, and arrangements remain subject to change. A booking overview, enquiry response, quotation, or provisional hold does not by itself create a binding contract.
2. Lead Passenger and Authority to Book
Where a booking covers more than one traveller, the person making the booking will be treated as the lead passenger. The lead passenger confirms that they have authority to act for every traveller named on the booking and, for any traveller under 18, that they have authority from a parent or legal guardian. The lead passenger will receive the booking correspondence on behalf of the whole party and will accept responsibility for passing it on.
3. What Is Included and What Is Not
Our arrangements can include accommodation, golf, green fees, transfers, car hire, and related land-based travel services. Flights are not included unless we specifically confirm this in writing. Unless we say otherwise, local taxes, resort charges, federation fees, golf insurance, buggy hire, trolley hire, and similar extras are payable by you directly where required.
4. Payments, Deposits, and Card Charges
A non-refundable deposit is required when you book. This will usually fall between GBP 50 and GBP 150 per person, although a larger deposit or full payment may be required for bespoke arrangements, supplier-led payment terms, or services which must be secured immediately. We accept major cards except American Express. We reserve the right to apply a 2% processing charge for corporate or commercial cards and for cards registered outside the United Kingdom.
5. Balance Due Date and Late Payment
The balance of the booking price must reach us no later than 2 calendar months before departure, unless a different date is shown on your confirmation. If the balance is not paid by the due date, we may cancel the booking and apply cancellation charges up to the full booking value. Bookings made within 2 months of departure must normally be paid in full at the time of booking.
6. Provisional Bookings and Availability
Where we agree to hold arrangements before confirmation, the booking will usually remain provisional for up to 7 days while payment is awaited. If payment does not arrive in time, the provisional booking will expire automatically. Any booking remains subject to the supplier’s final availability until we issue written confirmation.
7. Accuracy of Names, Documents, and Contact Details
You must provide complete and accurate names, dates, contact details, and any other requested information. Traveller names should match passports or other valid travel documents exactly. We are not liable for costs, losses, refusals, delays, or amendment charges caused by incorrect information supplied by you. You must also ensure the email address and telephone number provided to us remain valid and monitored.
8. Your Responsibility to Check Documents
You must check all confirmations, invoices, itineraries, hotel details, transfer details, tee times, vouchers, and any other travel documents as soon as you receive them. If any detail is wrong or does not match what you booked, you must tell us immediately and, where practical, within 24 hours of receipt. We are not responsible for documents that you do not review promptly.
9. Booking Changes Requested by You
If you request an amendment to a confirmed booking, we will try to help, but changes are not guaranteed. Where a change is accepted, we may charge an administration fee of GBP 50 per person, together with any extra supplier costs. Requests made within 2 months of departure are more likely to be treated as a cancellation of the original booking and a new booking at current rates. If the lead passenger is no longer travelling, this may create operational issues at check-in or on arrival, and we accept no liability for losses arising from this.
10. Cancellation by You
Any cancellation must be submitted in writing by the lead passenger. Cancellation charges are based on the date we receive the notice. Unless different supplier terms apply, the following scale will usually apply: 60 days or more before departure, loss of deposit.
43 to 59 days, 50% of the total booking price.
22 to 42 days, 75%.
21 days or fewer, 100%.
Some elements, such as green fees, special purchases, or supplier commitments, may be non-refundable from the point of booking. If some members of the party cancel, the remaining travellers must pay for any increase caused by reduced occupancy or revised transport arrangements.
11. Pricing and Price Changes
We reserve the right to alter prices shown on our website, in quotations, on social channels, or in other marketing materials before a booking is confirmed. After confirmation, we may adjust the booking price where unavoidable increases affect taxes, local charges, supplier costs, or other mandatory travel-related charges which apply to your arrangements. We will not raise the confirmed price within 20 days of departure. Pricing protection depends on you meeting all payment deadlines.
12. If a Hotel or Service Becomes Unavailable Before Confirmation
On rare occasions, a hotel, transfer, or other service you selected may become unavailable before your booking is fully secured. If this happens, we will offer a suitable alternative where possible, together with any related price adjustment, or refund the monies paid for the unavailable element.
13. Changes or Cancellation by Us
From time to time, we may need to alter or cancel arrangements before departure. Most changes are minor. If we make a major change before travel, we will tell you as soon as reasonably possible and, where appropriate, offer you the choice of accepting the revised arrangements, moving to another available option, or cancelling the affected booking. If cancellation results from supplier insolvency, fraud concerns, non-payment, or circumstances outside our control, our obligations will be limited to the extent permitted by law and by the relevant supplier terms.
14. Fraud, Chargebacks, and Verification
We reserve the right to refuse, cancel, or decline future bookings where we reasonably suspect fraudulent payment, unauthorised card use, dishonest conduct, attempted chargeback abuse, or misleading claims for refund or compensation. We may carry out reasonable payment verification checks before confirming or delivering travel documents.
15. Events Outside Our Control
We will not be responsible for any failure or delay in completing the contract that results from events outside our control that could not have been avoided even with reasonable care. Examples include war, riot, terrorism, civil unrest, industrial action, fire, flood, severe weather, epidemic or pandemic conditions, government action, airport or port closure, transport disruption, airspace restrictions, congestion, volcanic activity, or other unavoidable and extraordinary circumstances. Where such circumstances affect travel, any refund, credit, rebooking, or recovery will be handled in accordance with the booked package, applicable law, and the terms imposed on us by the relevant suppliers.
16. Insurance
It is a condition of booking that you arrange suitable travel insurance for every person travelling. Your policy should be adequate for your destination, the value of the booking, any golf equipment, planned activities, cancellation risk, medical costs, and public liability where appropriate. It is your responsibility to make sure the cover is right for you and your party.
17. Golf-Specific Conditions
We will pass your preferred tee times to the relevant golf clubs or local partners, but requested times are never guaranteed. Golf clubs may move tee times, pair smaller groups with other players, substitute courses, restrict buggy use, require handicap certificates, or apply local fees at their discretion. Confirmed golf may become subject to amendment or cancellation charges, and changes within 30 days of departure may be charged at up to 100% of the affected golf element. Unused rounds and vouchers are not refundable unless the course confirms in writing that the course is closed or not played. We are not responsible for the condition of the course, maintenance work, buggy availability, or any accidents that occur while you are playing golf or taking part in any other sporting activity.
18. Transfers and Car Hire
Where transfers are booked, the quoted price is based on the flight times, arrival patterns, and airport details you provide. Extra charges may apply where a group arrives on different flights or uses a different airport. Where car hire is arranged, the rental provider’s own contract and insurance rules will apply on collection. Fuel, excesses, extra drivers, out-of-hours charges, delivery fees, and optional insurance products are normally excluded unless we confirm otherwise. Local providers may refuse handover where required documents are missing or where the driver appears unfit to drive, including due to alcohol or drug use.
19. Special Requests and Medical or Personal Needs
Any special requests, dietary needs, mobility issues, medical requirements, room preferences, or other personal requests should be clearly communicated to us in writing at the time of booking. We will pass reasonable requests on to the relevant supplier, but unless we confirm otherwise in writing, special requests are not guaranteed and do not form part of the contract.
20. Building Work, Maintenance, and Resort Conditions
Resorts, hotels, golf courses, and surrounding areas can be subject to maintenance, renovation, development, seasonal closures, and other local activity outside our control. Facilities shown in marketing material may change, be withdrawn, or be unavailable due to weather, low demand, maintenance, health measures, or supplier decisions. Where we know of a significant change before travel, we will try to tell you. We are not liable for third-party building work or local noise that is beyond the direct control of our suppliers, although we may try to assist with alternatives where possible.
21. Our Liability to You
We will use reasonable skill and care in arranging the services which form part of your booking. We accept responsibility for the acts and omissions of our employees, agents, and suppliers where the law makes us responsible. We will not be liable for loss, damage, delay, injury, or expense caused by your own acts or omissions, the acts or omissions of someone unconnected with the travel services, or an event which could not have been foreseen or avoided with reasonable care. Many suppliers apply their own booking conditions and liability limits, which also apply to the services they provide.
22. Complaints During Travel
If something goes wrong while you are away, you must raise it promptly with the hotel, golf course, transfer provider, car hire company, local representative, or with us, depending on the issue. This gives a fair chance to put matters right while you are still travelling. If a complaint is not reported during the trip, it may reduce or remove any later claim. Any complaint you wish us to review after travel should be sent in writing within 14 days of your return.
23. Passports, Visas, Health Rules, and Fitness to Travel
You are responsible for ensuring every traveller has a valid passport, visa, health documentation, and any other entry or exit requirement needed for the journey. You must also make sure each traveller is medically fit to travel. We are not responsible for refused boarding, refused entry, fines, penalties, or related losses resulting from missing or invalid documents, health restrictions, or failure to comply with local rules. If any authority requires a supplier or us to incur costs because of your non-compliance, you must reimburse those costs on demand.
24. Marketing Material and Descriptions
We work hard to keep our website, brochures, quotations, and other marketing accurate, but mistakes and changes do occur. Images, descriptions, course details, room information, and resort facilities are intended as a guide and may change between publication and booking. You should confirm all important details with us when booking, and a written confirmation will take priority over earlier marketing material.
25. Data, Notices, and Communication
We will use the contact details given on the booking for confirmations, notices, reminders, amendments, and other travel communications. We are not responsible where you fail to receive a message because the contact details supplied were wrong, unavailable, full, filtered, or not monitored. You must contact us if an expected document or update has not arrived.
26. Flight Disclaimer
If you arrange your own flights, you do so at your own risk. You must leave enough time for arrivals, baggage collection, transfers, traffic, check-in, and any onward arrangements. We do not guarantee that your self-booked flights will align with tee times, transfer schedules, hotel policies, or supplier operating hours. We accept no responsibility and pay no compensation for missed services or extra expense caused by delayed flights, cancelled flights, re-routed flights, schedule changes, airline overbooking, missed connections, airport congestion, or any flight booked by you at an unsuitable time.
27. Governing Law and Updates to These Terms
These terms and any non-contractual dispute arising from them are governed by the laws of England and Wales. We reserve the right to update these terms from time to time. The version in force on the date of your booking will apply to your contract unless a change is required by law.
